RFQs explained: getting comparable quotes from operators

Most workspace quotes are hard to compare. One provider quotes per desk, another quotes an all-in room, and a third gives a starting figure that excludes meeting rooms, parking, setup fees, or VAT.

A structured RFQ helps by asking every provider for the same information. It does not make every response identical, but it gives you a clearer basis for comparing the responses you receive.

What makes a workspace RFQ comparable

A useful request for quotation gives providers enough context to respond seriously without locking you into one answer too early. Include the city and preferred areas, team size now and expected growth, workspace type, target start date, preferred term, meeting-room and parking needs, and any documentation or address requirements to verify.

Example: a useful workspace RFQ

The following is hypothetical. It is a level of detail that lets providers answer the same brief without implying that any particular space, rate, or availability exists.

We are a team of 8 looking for a private serviced office in Business Bay or JLT, with a target move-in date of 1 September. We prefer a 6–12 month term. Please confirm whether the office is furnished and whether internet and utilities are included. We need 2 parking spaces, access to a meeting room several times each week, and 24/7 access. Please confirm what licence-related or address documentation you can provide, the current availability and realistic move-in timing, and whether the space could expand to accommodate 10–12 people.

You can add a budget range if you have one, but it is better not to invent a number simply to fill the form. State the decision criteria too: for example, privacy, speed, client access, cost certainty, or room to grow.

Compare the output, not just the headline price

Workspace providers package products differently. Coworking operators may quote memberships, business centers may quote an office suite, and managed-office providers may quote a broader service bundle. That does not make one model wrong; it means the requested output needs to be comparable.

The numbers and terms that change the decision

Ask each provider to separate the recurring workspace charge from one-time costs such as setup, registration, fit-out, or onboarding. Ask whether VAT is included or added separately, how the deposit works, and when it is returned.

The commercial terms matter just as much as the monthly figure. Confirm the initial term, notice period, renewal basis, and what happens if you add or reduce seats. Check whether parking and meeting rooms are included, capped, charged separately, or subject to availability. Finally, confirm the documentation you need and the actual availability and move-in date rather than assuming a listed space is ready.

Do not skip fit and follow-up

Price matters, but the lowest quote is not always the best option. Ask whether the provider can support your working style, meeting-room pattern, privacy needs, commute, visitor experience, and any documentation you need to verify.
